1. Table Reservations & Booking Process

Rasikam welcomes guests by prior reservation to ensure a calm, well-prepared Satvik dining experience. Please review the process below before booking your table.

How to Reserve a Table

  • Reservations can be made through our official website booking form, WhatsApp Business number, telephone reservation desk, or in person at the restaurant.
  • Guests are requested to book at least 2 hours in advance for regular dining, and at least 24 hours in advance during weekends, festivals, and peak season.
  • Each reservation request must include guest name, contact number, number of guests, preferred date and time slot, and any seating preference (indoor, courtyard, or private corner, subject to availability).
  • A single reservation is valid for a maximum party size of 10 guests. Groups larger than 10 must follow the Group Booking process outlined in Section 5.

How to Reserve a Table

  • Tables are held for 15 minutes past the reserved time. Beyond this, the table may be released to walk-in guests unless prior communication of delay has been made.
  • Reservation slots are generally offered in Lunch (12:00 PM – 3:30 PM) and Dinner (7:00 PM – 11:00 PM) sessions, subject to change during festivals or special occasions.
  • Guests are encouraged to arrive 10 minutes prior to their reserved slot to allow for smooth seating and orientation to our Satvik dining etiquette.

Special Requests at Time of Booking

  • Any special seating requirements, festival-specific requests, or dietary clarifications (allergy information, Jain-Satvik variations, etc.) must be communicated at the time of booking.
  • While Rasikam accommodates reasonable requests, confirmation of special seating is subject to restaurant layout and prior bookings on that day.

Note: All reservations are subject to final confirmation from the Rasikam reservations team, as outlined in Section 3.

2. Advance Payment, Cancellation, Refund & Rescheduling

To maintain fairness for all guests and reduce food wastage in line with our Satvik values, certain bookings require advance payment. The terms below apply to all such bookings.

Advance Payment Requirements

  • Regular table reservations for parties up to 6 guests generally do not require advance payment, unless made during a festival, weekend rush, or specially promoted event.
  • Reservations for 7 or more guests, festival-day bookings, and all Private Dining or Banquet bookings require an advance payment as detailed in the relevant sections.
  • Advance payment amount and due date will be clearly communicated at the time of booking confirmation, and must be paid through the accepted modes (UPI, bank transfer, debit/credit card, or approved payment link).

Cancellation Policy

  • Cancellations made at least 24 hours before the reserved slot are eligible for a full refund of any advance payment made.

3. Confirmation & Communication Guidelines

Clear and timely communication ensures your visit to Rasikam is smooth from the moment you book to the moment you are seated.

Booking Confirmation Process

  • Every booking request is acknowledged within 2 hours during business hours (9:00 AM – 9:00 PM) through WhatsApp or email.
  • A booking is considered confirmed only after the guest receives an explicit confirmation message stating the date, time, party size, table/hall assignment, and any advance payment status.
  • Bookings made close to the reservation time (within 2 hours) will be confirmed telephonically for immediate clarity.

Mode of Communication

  • Official communication for reservations, banquet bookings, and event coordination will be conducted via WhatsApp Business number and registered email address only.
  • Guests are encouraged to save the official Rasikam contact details and avoid relying on unofficial or third-party sources for booking confirmation.
  • For urgent same-day changes, guests should call the reservation desk directly rather than relying solely on WhatsApp or email.

What Confirmation Communication Includes

  • Booking reference number for easy tracking of the reservation.
  • Date, time slot, and duration of the reservation or event.
  • Number of guests and table/hall/seating arrangement confirmed.
  • Advance payment amount received and any balance due, with due date.
  • Menu confirmation (for banquet and set-menu bookings) and any special requests noted.
  • Contact details of the Rasikam coordinator assigned to the booking.

Guest Responsibility in Communication

  • Guests must promptly respond to confirmation messages and clarify any discrepancies within 24 hours of receiving them.
  • Any changes to guest count, timing, or menu preferences must be communicated in writing at least 24 hours in advance, or earlier for banquet events as per Section 6.

Note: Rasikam is not responsible for bookings not explicitly confirmed in writing. A verbal or tentative conversation does not constitute a confirmed reservation.

4. No-Show Policy & Booking Validity

To respect the time and preparation of our kitchen team and other guests, the following no-show and validity terms apply.

Definition of a No-Show

  • A booking is marked as a ‘No-Show’ if the guest does not arrive within 15 minutes of the reserved time without prior communication of delay.
  • For Banquet Hall and Private Dining bookings, a No-Show is marked if the host/organizer does not arrive or communicate within 30 minutes of the confirmed event start time.

Consequences of a No-Show

  • Any advance payment made for a No-Show booking is forfeited in full and is non-refundable, non-adjustable against future bookings.
  • Repeated No-Shows (two or more within a 60-day period) may require guests to make full advance payment for all future bookings.
  • The reserved table or hall is released to other guests immediately after a booking is marked as No-Show.

Booking Validity Period

  • Standard table reservations are valid strictly for the confirmed date and time slot and cannot be carried forward to another day without formal rescheduling.
  • Advance payments made for a specific booking are valid only for that booking and expire if not utilized or formally rescheduled within 7 days.
  • Gift vouchers, promotional booking credits, or special offers tied to a reservation carry their own validity period, which will be clearly communicated at the time of issue.

Note: Guests anticipating a delay of more than 15 minutes are requested to inform the restaurant promptly to help us hold the table wherever possible.

5. Group Bookings & Private Dining

Rasikam offers dedicated arrangements for larger parties and private dining experiences, distinct from standard table reservations.

Group Booking Definition & Process

  • Any reservation for 11 or more guests is classified as a Group Booking and must be arranged at least 48 hours in advance through our reservations team.
  • Group bookings require a designated point of contact who will coordinate menu selection, seating arrangement, and payment on behalf of the group.
  • A set or semi-set menu is recommended for groups above 15 guests to ensure timely and quality service; à la carte ordering for large groups may extend wait times.

Advance Payment for Group Bookings

  • Group bookings require an advance payment of 30% of the estimated bill value, calculated based on the chosen menu and expected guest count.
  • The advance payment must be made within 24 hours of receiving the booking confirmation to secure the reservation.

Private Dining Arrangements

  • Rasikam offers a private dining section/corner for intimate gatherings, family celebrations, and business meals, subject to availability and minimum spend requirements.
  • Private dining bookings require advance confirmation of menu, seating layout, and duration of use, and are typically reserved for a minimum of 2 hours.
  • A minimum guaranteed spend applies to private dining bookings; if actual consumption is below this amount, the difference will be billed to meet the minimum spend.

Menu Planning for Groups

  • Group and private dining menus are curated by our culinary team in strict adherence to Satvik principles — no onion, no garlic, and preparation methods aligned with Satvik dietary practices.
  • Menu tasting sessions may be arranged for group bookings above 25 guests, subject to prior scheduling and applicable charges.
  • Final menu and guest count must be confirmed at least 72 hours before the event to allow adequate procurement and preparation time.

Cancellation & Changes for Group Bookings

  • Cancellations made 72 hours or more before the event are eligible for a full refund of the advance payment.
  • Cancellations made between 24–72 hours before the event are eligible for a 50% refund; cancellations within 24 hours are non-refundable.
  • Reduction in guest count by more than 20% within 48 hours of the event may result in recalculation of advance payment adequacy and possible additional dues.

Note: For celebrations, banquets, and formal events exceeding standard group dining, please refer to Section 6 for complete banquet hall terms.

6. Banquet Hall Bookings, Celebrations & Event Policies

Rasikam’s banquet hall is available for weddings, religious ceremonies, corporate events, birthdays, anniversaries, and other celebrations, always prepared in accordance with Satvik principles.

Booking Process for Banquet Hall

  • Banquet hall bookings must be made at least 15 days in advance for standard events and at least 30 days in advance during peak wedding and festival seasons.
  • A site visit and consultation with the Rasikam events team is recommended before confirming a banquet booking, to finalize layout, capacity, and service style.
  • The banquet hall booking is confirmed only upon signed booking agreement and receipt of the initial advance payment/security deposit as outlined in Section 8.

Hall Capacity & Usage Terms

  • The banquet hall has a defined maximum seating and standing capacity, which will be communicated at the time of booking; this capacity limit must not be exceeded for safety and comfort of all guests.
  • The hall is booked for a specific date and time window; usage beyond the agreed hours is subject to overtime charges as detailed later in this section.
  • Any change in event date is treated as a rescheduling request and is subject to hall availability on the new date.

Celebration & Event Types Supported

  • Birthday celebrations, anniversaries, and family get-togethers with customized Satvik menus.
  • Religious ceremonies, poojas, satsangs, and spiritual gatherings aligned with the sanctity of Gupt Vrindavan Dham.
  • Wedding functions including engagement, sangeet, and reception, with Satvik catering throughout.
  • Corporate events, conferences, and business gatherings requiring a private, distraction-free setting.

Event Policies

  • All food and beverages served during any banquet event must be Satvik and sourced/prepared by Rasikam’s kitchen; outside food and beverages are strictly not permitted, in keeping with our Satvik commitment.
  • Alcohol, non-vegetarian food, onion, and garlic are strictly prohibited within the banquet premises and hall grounds at all times.
  • Loud music and DJ arrangements, if permitted for a particular event type, must comply with local noise regulations and permitted timings, and require prior written approval from Rasikam management.
  • The host/organizer is responsible for the conduct of their guests and vendors during the event and for any damage caused to restaurant property, fixtures, or equipment.

Note: Given the sacred setting of Gupt Vrindavan Dham, all events are expected to maintain the decorum, cleanliness, and Satvik spirit of the premises.

7. Decoration, Outside Vendors, Food Service, Timings & Overtime Charges

To ensure smooth execution of your event, the following operational terms apply to décor, vendors, food service, and timing.

Decoration Policy

  • Guests may choose Rasikam’s in-house décor packages or bring their own decoration team, subject to prior approval and adherence to venue guidelines.
  • Open flame decorations, excessive confetti, adhesive materials on walls, and any decor causing damage to hall fixtures are strictly not permitted.
  • All decoration must be set up and dismantled within the agreed access window; extended decoration time outside this window may attract additional charges.
  • Any damage caused to hall walls, flooring, or fixtures due to decoration activity will be assessed and charged to the host from the security deposit.

Outside Vendor Policy

  • Outside vendors (decorators, photographers, entertainment, and event planners) are permitted subject to prior registration with Rasikam’s events team at least 7 days before the event.
  • All outside vendors must carry valid identification, follow venue safety norms, and complete setup/dismantling within the allotted access hours.
  • Rasikam reserves the right to deny entry to any vendor who has not been pre-registered or who fails to comply with venue safety and conduct guidelines.
  • Outside catering, food, or beverage vendors are not permitted under any circumstances, as all food service must remain Satvik and prepared by Rasikam’s own kitchen.

Food Service Guidelines

  • All food service for banquet and celebration events is exclusively managed by Rasikam’s culinary and service team, ensuring consistent Satvik standards.
  • Menu finalization, live counters (if opted), and service style (buffet, plated, or family-style) must be confirmed at least 7 days prior to the event.
  • Any last-minute menu additions within 48 hours of the event are subject to availability and may carry additional charges.
  • Rasikam accommodates dietary clarifications (Jain-Satvik, allergy considerations) provided they are communicated during menu finalization.

Event Timings

  • Each banquet booking includes a defined event duration (typically 4–6 hours for celebrations, or as mutually agreed for weddings and multi-day events), along with a decoration/setup window before the event and a vacate window after.
  • Guests are requested to strictly adhere to the agreed start and end time to allow for turnover and preparation for subsequent bookings.

Overtime Charges

  • Any usage of the hall beyond the agreed end time will be charged at a pre-communicated hourly overtime rate, billed in slots of 30 minutes or part thereof.
  • Overtime charges apply equally to extended decoration/setup time and extended event/vacate time, unless otherwise agreed in writing in advance.
  • Overtime usage is subject to hall availability for subsequent bookings; Rasikam reserves the right to require vacation of the hall at the agreed time if a following event is scheduled.

Note: All decoration, vendor, and timing terms will be documented in the final banquet booking agreement shared with the host prior to the event.

8. Payment Terms, Balance Payment & Security Deposit

Clear payment terms help both Rasikam and our guests plan celebrations and events without last-minute surprises.

Payment Structure for Banquet & Large Events

  • Booking Confirmation Payment: 25% of the estimated total event value, payable at the time of signing the booking agreement to block the date and hall.
  • Interim Payment: An additional 25–35% of the estimated total, payable 15 days before the event, once the guest count and menu are largely finalized.
  • Final Balance Payment: The remaining balance, adjusted for final guest count and any additional services, is payable 48 hours before the event.
  • Any charges arising from overtime, last-minute additions, or damages are payable immediately after the event, or will be deducted from the security deposit.

Security Deposit (Where Applicable)

  • A refundable security deposit is required for banquet hall bookings, weddings, and events involving outside vendors, to cover potential damage to property or violation of venue policies.
  • The security deposit amount will be communicated at the time of booking and is separate from the event payment structure described above.
  • The security deposit, or its remaining balance after any deductions, is refunded within 7–10 business days after the event, following a joint venue inspection.
  • Deductions from the security deposit may be made for property damage, extended overtime beyond the paid duration, unauthorized vendor activity, or violation of the Satvik food/decor policies described in Sections 6 and 7.

Accepted Modes of Payment

  • Payments are accepted via UPI, NEFT/RTGS bank transfer, debit/credit card, or an approved digital payment link shared by Rasikam’s accounts team.
  • Cash payments are accepted for smaller amounts up to a limit communicated by the accounts team, with an official receipt issued for every transaction.

Late Payment & Non-Payment

  • Failure to make the Interim Payment by the due date may result in the event date being released for other bookings, at Rasikam’s discretion, after prior communication.
  • Failure to clear the Final Balance Payment within the specified window before the event may lead to postponement or cancellation of the event without refund of prior payments.

Note: All payment milestones and amounts specific to an individual event will be clearly listed in the signed booking agreement provided to the host.

9. General Policies for Website & Customer Communication

The following general principles apply across all guest interactions, bookings, and communications with Rasikam.

Satvik Commitment

  • Rasikam is committed to serving 100% Satvik, pure vegetarian food — free from onion, garlic, and any non-Satvik ingredients — across all dining, group, and banquet services without exception.
  • Guests seeking customized dietary accommodations (Jain-Satvik, allergy-sensitive preparations) are encouraged to inform the team at the time of booking for the best experience.

Guest Conduct & Dress Code

  • Given the spiritual setting of Gupt Vrindavan Dham, guests are requested to dress modestly and maintain decorum befitting the sanctity of the premises.
  • Smoking, alcohol, and any non-Satvik items are strictly prohibited within the entire restaurant and banquet premises at all times.

Pricing & Menu Changes

  • Menu items, pricing, and seasonal offerings are subject to change without prior notice; the latest confirmed menu and pricing will always be shared at the time of booking finalization.
  • Prices displayed on the website or promotional material are indicative and subject to applicable taxes and service charges unless stated otherwise.

Force Majeure

  • Rasikam shall not be held liable for cancellations, delays, or service limitations arising from events beyond reasonable control, including natural calamities, government restrictions, power outages, or public emergencies.
  • In such circumstances, Rasikam will make reasonable efforts to reschedule the booking or process an appropriate refund in line with the specific situation.

Grievance Redressal

  • Any concerns, feedback, or disputes regarding bookings, payments, or service should be raised with the Rasikam management team via the official contact channels within 48 hours of the concerned event or visit.
  • Rasikam is committed to reviewing and responding to all guest concerns within 3 business days of receipt.

Policy Updates

  • These policies may be revised periodically to improve guest experience and operational clarity; the most current version will always be available on our official website and displayed at the restaurant.
  • Continued use of Rasikam’s booking services constitutes acceptance of the policies in effect at the time of booking.

Note: For any clarification on these policies, guests are encouraged to reach out to the Rasikam reservations team before confirming a booking.
